Incoming email can be a necessary channel even when the internal process expects structured records. A processor connects that intake to a checked request. It is useful when staff spend time copying the same fields from messages, provided ambiguous or unsafe inputs remain reviewable.
It can capture sender, subject, attachments, extracted fields and the resulting request reference. Parsing rules or assisted interpretation need validation. Email content is untrusted input, so an incoming instruction should not automatically grant permission to run actions or expose other records.
An email arrives in the agreed inbox. The processor checks its source and required information, then creates a draft or validated request. Ambiguous messages go to a review queue. The accepted record follows the normal assignment process with the original email retained where permitted.
SFn can configure accepted formats, routing rules and review thresholds. Mail and operations interfaces can be connected where supported. Attachments, duplicate messages and missing references need safe handling, with automatic replies separately approved.
