Administrative work often follows a repeatable sequence across several tools. A workflow engine makes that sequence explicit and tracks its progress. It suits processes where missed handovers or failed connections currently require staff to reconstruct what happened from separate system histories.
It can manage triggers, states, tasks, rule checks and integration results. The engine coordinates the process; each connected system still has its own records and permissions. A visible exception queue is necessary when a step fails or requires a human decision.
An agreed event starts a workflow instance. Rules validate the input and create the required tasks or system updates. Staff resolve any exception, then the process resumes from the appropriate point. Completion records which steps succeeded rather than simply marking the entire request done.
SFn can model the selected process, retries and human checkpoints. API or file connections depend on the tools involved. Duplicate triggers, interrupted steps and rollback requirements should be tested using realistic failures before unattended operation.
