Software Licence Register

A register of software subscriptions, allocated licences and the dates that require review.

Subscriptions and licence assignments can become difficult to review when each team maintains its own list. A register gives IT and purchasing a common record. It is useful before renewals, particularly where staff departures or changed requirements leave capacity allocated but no longer needed.

What it manages

Records can contain the product, vendor, licence quantity, assigned users, cost reference and renewal date. It helps staff compare purchased capacity with assignments. The register records the business's information; it does not independently establish compliance with a vendor's licence terms.

03

How it works in a business

IT or purchasing records a subscription and its available licences. Assignments identify the users or devices consuming it. Before renewal, the owner reviews actual need and unused capacity, then records the decision and updated agreement reference.

04

What SFn can customise

SFn can configure licence types, assignment tracking and renewal alerts. Employee and vendor records may be linked. Vendor usage interfaces can be added where available, with commercial terms and audit obligations reviewed by the responsible business owner.
