Asset Register

An inventory of business assets, where they are located and who is responsible for them.

Business equipment changes hands and locations long after it is purchased. A register helps administrators find the current custodian and understand an item's maintenance or disposal history. It is useful when purchase invoices exist but do not explain where assets are now or who uses them.

What it manages

Asset records can include an identifier, type, serial number, location, custodian, purchase reference and maintenance dates. This concerns items the business owns and uses. Stock inventory instead tracks quantities bought and sold, so the two systems have different movement and reporting needs.

How it works in a business

A new asset is registered and assigned to a location or person. Transfers update custody, maintenance records document repairs and retirement records explain disposal. Staff can inspect an asset's history instead of relying on the original purchase spreadsheet.

What SFn can customise

SFn can configure asset categories, identification labels and transfer approvals. Maintenance reminders and finance references can be added where appropriate. Opening data should be checked against a physical or existing register before it becomes the accepted record.
