Staff may know a policy or answer exists but not where to find it. A grounded assistant can help locate and explain approved material. It suits a maintained company knowledge collection, with source references and access rules providing a basis for checking the answer.
It can index approved policies, procedures and reference material, then show source links with its answers. Unlike a document library alone, it interprets a question and assembles a response. Answers can still be wrong or incomplete, so sources and uncertainty remain visible.
A staff member asks a question. The assistant retrieves relevant approved material and prepares an answer with references. If the sources do not support an answer, it should say so or route the question to the document owner instead of inventing a company rule.
SFn can configure approved collections, access boundaries and answer evaluation. Document updates and feedback can feed a review process. Tests need representative questions, restricted files and outdated sources before the assistant is made available across the company.
